Conference and event coverage: a complete guide for international summits
How to plan photography, video and live content for conferences, launches and summits in Kigali and across Africa.
Great event coverage is more than taking pictures
At a summit, the photographs and films are how most people will experience the event. Ministers, partners and the public who were not in the room will judge it by what they see online, in the news and in the final report.
That is why coverage should be planned as part of the communication strategy, not added at the last minute.
Before the event
- Share the programme, the speaker list and the key messages
- Agree the priority moments: opening, signings, keynote speeches, group photos
- Confirm accreditation, access zones and protocol rules
- Plan the team size for the number of rooms and parallel sessions
- Agree delivery times for photos, clips and highlight films
On the day
A well-run team covers every plenary and priority session, the speakers and the audience, the branding and the atmosphere. It also captures short interviews with speakers and participants, which are valuable for social media and reports.
Live delivery matters. Edited photos and short clips, shared session by session while the event is still running, let your communications team publish in real time and give the media what it needs.
Photos shared during each session keep your event in the news while it matters.
Captions and accuracy
Most public mistakes at events are not in the images but in the captions. Every name and title should be checked against the official programme and the protocol list before anything is published.
After the event
- The full edited photo set, named and captioned
- A highlight film of two to three minutes
- Speaker clips for social media
- Images selected for the event report and donor updates
- An organised archive your team can search later
How big should the team be?
A single-room launch can often be covered by one photographer and one videographer. A multi-day summit with parallel sessions, press conferences and evening events usually needs a larger team with an editor working on site. Share the full programme and a good company will propose the right size.
Why Kigali
Kigali has become one of Africa’s leading cities for international meetings. The International Congress and Convention Association ranked it second in Africa in 2023 for the number of association meetings hosted, and the Kigali Convention Centre can host more than 5,000 delegates.12
Working with a local team that knows the venues, the protocol and the logistics saves time and reduces risk.
Questions people ask
How quickly can we get photos during a conference?
During the conference itself. Edited photos are shared as each session goes on, so your team can publish while the event is still running.
Do you cover events outside Rwanda?
Yes. Coverage can be arranged across Africa, with travel and allowances listed separately in the quote.
Can you film speaker interviews at the event?
Yes. Short interviews with speakers and participants are one of the most useful things to capture for social media and reports.
